Office moving checklist for Brisbane businesses
A successful Brisbane office relocation is measured in lost working hours, not boxes. Plan access, IT, labels and the moving window before the truck arrives.
An office move needs a plan for people, equipment and building access, not just a collection date. Use this checklist to organise the inventory, assign responsibilities and decide what must be ready before work can resume at the new address.
Ready to discuss the physical move? Our Brisbane office removalists can assess your inventory, access and preferred moving window. This guide covers the preparation that supports that assessment.

Build a timeline around your business
The four-week sequence below is a planning example, not a required booking period or a completion guarantee. Work backwards from the date your team needs the new workplace, then allow for building approvals, access windows and any work being arranged with your IT provider.
Choose one person to coordinate the relocation. They should hold the inventory, floor plan, building contacts and removalist details. Other people can help, but one move coordinator prevents conflicting instructions.
A simple four-week office moving timeline
Four weeks out
- Confirm the moving date and request a written quote.
- Notify both building managers.
- Order internet and phone services for the new office.
- Ask about service lifts, loading docks, permitted hours and insurance documents.
Three weeks out
- Create an inventory of furniture, IT equipment, files and shared items.
- Decide what will be moved, sold, donated, recycled or disposed of.
- Measure large furniture and access points.
- Book lift and loading-dock windows in writing.
Two weeks out
- Finalise the new floor plan.
- Number every workstation, room and shared area.
- Order crates, cartons, labels and protective materials.
- Brief staff on what they must pack themselves.
One week out
- Confirm access, parking, keys, swipe cards and after-hours contacts.
- Back up important data.
- Test internet, power and data points at the new location.
- Send the final inventory and access notes to your removalist.
Label everything by its destination
Do not label a carton only as “Accounts” or “Marketing.” Label it with the exact destination at the new office, such as “Desk 14,” “Meeting Room 2” or “Archive Room A.”
Put the same numbers on the new floor plan and at each destination. The moving crew can then place desks, chairs, monitors and boxes correctly as they unload. That is much faster than stacking everything in one area and asking staff to sort it later.
Use the same system for:
- monitors and docking stations
- office chairs and drawer units
- computer cable bags
- filing cabinets
- kitchen equipment
- meeting-room furniture
Plan the IT relocation separately
IT equipment should have its own checklist and owner. Before disconnecting anything:
- back up essential systems
- photograph cable layouts
- label devices and both ends of every cable
- place cables and accessories in labelled bags
- record serial numbers for valuable equipment
- confirm who is responsible for reconnecting and testing each system
Arrange the new internet connection as early as possible. Do not assume it will be active because the previous tenant had service. Test it before moving weekend so your team is not relying on mobile hotspots on Monday morning.
Coordinate with Brisbane building management
Many office buildings in the Brisbane CBD, Fortitude Valley, South Brisbane and inner suburbs have strict moving procedures. You may need:
- a booked service lift
- a loading-dock reservation
- proof of public liability insurance
- protective lift padding
- an after-hours access form
- a common-property damage bond
- approval for where the truck can park
Ask for the building’s moving rules before you confirm the schedule. A professional commercial removalist in Brisbane should also ask about truck clearance, carrying distance and lift size when preparing the estimate.
Move outside your main trading hours
Where the building allows it, an evening or weekend relocation can reduce disruption. A common plan is to finish work on Friday, complete the move on Friday evening or Saturday, then test every workstation before Monday.
The lowest quote is not always the lowest business cost. A slightly larger crew can shorten the moving window and reduce paid downtime. Ask for the crew size that will complete the job efficiently, not simply the cheapest hourly option.
Check the new office before moving day
Walk through the new location several days before the move and confirm:
- the floor plan fits the actual rooms
- power and data points work
- fit-out and cleaning are complete
- lifts and loading areas are available
- keys and access cards work after hours
- someone with authority will be on site
- the truck route and parking area are clear
Measure the boardroom table, large shelving and reception furniture against doors, lifts and corners. Problems are inexpensive to solve before moving day and expensive to solve while a crew is waiting.
What a successful office relocation looks like
Staff should arrive knowing where to sit, with their monitor and chair at the right workstation. Internet, phones and shared systems should work. Important files and equipment should be traceable from the inventory.
That result comes from planning, not luck.
